This means I never need to read your clinical notes; my access is strictly limited to securely holding your emergency access keys and managing client notifications if required.
• A Professional Contract: We will establish a clear Data Processing Agreement (DPA) and Clinical Will template, moving the arrangement from an informal favour to a robust, legally binding professional service.

How the Service Works

1. The Setup: We sign a formal Clinical Will and Data Processing Agreement. You set up a deactivated user profile for me in your practice management software.
2. The Secure Key: You place your administration login details and cloud encryption keys in a secure digital vault (like 1Password) or a sealed physical envelope. I only receive access to this if the will is activated.
3. The Activation (Only if needed): In the event of your sudden incapacity or death, I activate my profile, access your active client list (up to a maximum of 5 active clients), and use a pre-agreed, gentle script to notify them and signpost them to alternative care.
4. Data Deletion: I ensure your encrypted clinical note files are securely held and permanently destroyed once your professional indemnity insurance retention period expires. I never read the contents of your notes.

Clear, Straightforward Fees

Just like my counselling practice, I believe in transparent pricing. There are no hidden costs or complicated tie-ins.

• Annual Retainer: £60 per year
  • This covers the secure holding of your emergency credentials, an annual check-in to ensure your details are up to date, and my availability as your named BACP-compliant trustee.
• Activation Fee: £60 per hour
  • This fee is only charged if the Clinical Will is triggered. It covers the administrative time spent activating your system, contacting your active clients, and managing the long-term security of your records. This is typically written into your will to be paid out of your practice assets or estate.
